How Togemachi Co., Ltd. handles personal information for the Tokyo to Touge event site, under Japan’s Act on the Protection of Personal Information (APPI).

2. What we collect
- Booking requests: name, email address, group size, the ticket summary and total, your language, and the contact consent. We store these on our server.
- Payment: card payments are handled by Stripe (and PayPal if offered). We receive the booking reference, the amount, your email and the payment status. We never see or store your full card number.
- Chat assistant: the questions you type are sent to our AI provider (Anthropic) to write a reply. We do not store the text of your chat on our server. Please do not enter sensitive personal details.
- Site use: an anonymous visit record (a random ID kept in your browser, pages and buttons used, device type, language, referring site). It contains no name, email or IP address, and it is not collected if your browser sends Do Not Track or Global Privacy Control. We also use Google Analytics (see section 6).
- Record of your agreement: when you ask to book and again before you pay, we record the date and time, the version of our terms you agreed to and your booking reference, as evidence of the agreement.
- Check-in declaration (the waiver form signed on the day): your name, signature and date, and, if you choose to give them, an emergency contact and medical information. Health details you volunteer are special-care personal information: we use them only for your safety and keep the signed form for 3 years, then destroy it.
- Bookings made through partner booking platforms (for example GetYourGuide, Viator, Klook, Peatix): we receive the details the platform passes on to run your booking, limited to your name and email, group size, date, price and any notes. The platform handles your payment and has its own privacy policy.
- Emails you send us, and the details you give us when you ask for a change or refund.
3. Why we use it
- To review and confirm booking requests, take payment, run the event and stay in touch about it.
- To answer questions, handle changes, cancellations and refunds.
- To keep records required by law and to prevent fraud and abuse.
- To understand how the site is used and improve it, using anonymous statistics.
- To tell you about future dates, only if you agreed to be contacted for that. You can withdraw this at any time.
4. Sharing and service providers
We do not sell personal information. We share it only with providers that help us run the service, and only as needed, or when the law requires.

5. Transfers outside Japan
Several of these providers are based in, or process data in, the United States and other countries. By using the booking form, chat and card payment you agree to your information being sent to them for the purposes above. The providers operate under their own data protection programmes; on request we will tell you what we know about the country and the protections that apply to a given provider.
6. Cookies and external transmission
Our pages send some information about your visit to outside services. The table lists them. You can switch cookies off in your browser, or install Google’s opt-out add-on for Google Analytics. Our own anonymous record respects Do Not Track.

7. How long we keep it
- Booking requests: for up to 24 months after the event date, then deleted.
- Payment and invoice records: for as long as tax and accounting law requires (normally 7 years).
- Anonymous site records: kept for as long as needed for statistics, normally not more than 24 months.
8. Keeping it safe
We keep personal information on access-controlled servers over encrypted connections, limit who can see it, and take reasonable steps against loss, leak and misuse.
9. Your rights
You can ask us to disclose, correct, add to, delete or stop using the personal information we hold about you, and to stop providing it to a third party, as the APPI allows. Email contact@tougetown.com from the address you used. We may ask you to confirm who you are. We reply within a reasonable time.
10. Children
The event is for people aged 18 and over, and we do not knowingly collect information from children.
11. Changes and complaints
We may update this policy and will show the new date at the top. You can complain to us at the address above, or to the Personal Information Protection Commission of Japan.

2. 取得する情報
- 予約リクエスト：氏名、メールアドレス、人数、チケット内容と合計金額、言語、連絡への同意。当社のサーバーに保存します。
- お支払い：カード決済はStripe（ご案内する場合はPayPal）が処理します。当社は予約番号、金額、メールアドレス、決済状況を受け取りますが、カード番号全体を見ることも保存することもありません。
- チャットアシスタント：入力された質問は、返信作成のためAIサービス提供事業者（Anthropic）へ送信されます。当社のサーバーにチャット内容は保存しません。要配慮個人情報などの入力はお控えください。
- サイトの利用状況：匿名の訪問記録（ブラウザに保存されるランダムなID、閲覧ページ・操作したボタン、端末の種類、言語、参照元サイト）。氏名・メールアドレス・IPアドレスは含まず、ブラウザがDo Not TrackまたはGlobal Privacy Controlを送信している場合は取得しません。Google Analyticsも利用します（第6項）。
- 同意の記録：予約リクエスト時およびお支払い前に、同意の証拠として、日時、同意した規約の版、予約番号を記録します。
- 受付での宣言書（当日署名する参加確認書）：氏名、署名、日付、および任意でご提供いただく緊急連絡先と医療情報。ご自身で申告された健康に関する情報は要配慮個人情報にあたり、お客様の安全のためにのみ使用し、署名済みの用紙は3年間保管した後に廃棄します。
- 提携する予約プラットフォーム（GetYourGuide、Viator、Klook、Peatixなど）経由のご予約：ご予約の運営のためにプラットフォームから受け取る情報は、氏名とメールアドレス、人数、日付、金額、備考などに限ります。お支払いはプラットフォームが処理し、各社のプライバシーポリシーが適用されます。
- お客様から届いたメール、および変更・返金のお申し出の際にいただいた内容。
3. 利用目的
- 予約リクエストの確認・確定、お支払いの受領、イベントの運営、およびそれに関するご連絡のため。
- お問い合わせへの対応、変更・キャンセル・返金の手続きのため。
- 法令に基づく記録の保存、不正利用・濫用の防止のため。
- 匿名の統計により、サイトの利用状況を把握し改善するため。
- 今後の開催のご案内（ご同意いただいた場合のみ）。いつでも同意を撤回できます。
4. 第三者提供・業務委託
当社は個人情報を販売しません。サービスの運営を支援する事業者に必要な範囲でのみ、または法令に基づく場合にのみ提供します。

5. 外国にある第三者への提供
上記の事業者の一部は、米国その他の国に所在し、またはそれらの国でデータを処理します。予約フォーム、チャット、カード決済のご利用により、上記の目的でお客様の情報がそれらの事業者へ送信されることに同意したものとみなします。各事業者はそれぞれの個人データ保護の仕組みのもとで運営されています。ご請求があれば、特定の事業者について当社が把握している国の名称と適用される保護措置についてお知らせします。
6. Cookieと外部送信
当サイトは、お客様の閲覧に関する一部の情報を外部のサービスへ送信します。下表のとおりです。ブラウザでCookieを無効にするか、Google Analyticsのオプトアウトアドオンをご利用いただけます。当社の匿名の訪問記録は、Do Not Trackを尊重します。

7. 保存期間
- 予約リクエスト：開催日から最長24か月間保存し、その後削除します。
- 決済・請求の記録：税法・会計法令が求める期間（通常7年間）保存します。
- 匿名のサイト利用記録：統計に必要な期間（通常24か月以内）保存します。
8. 安全管理
個人情報は、アクセス制限されたサーバー上で、暗号化された通信を用いて保管し、閲覧できる者を限定し、紛失・漏えい・不正利用を防ぐ合理的な措置を講じます。
9. お客様の権利
個人情報保護法に基づき、当社が保有するお客様の個人情報について、開示、訂正・追加・削除、利用停止、第三者提供の停止を請求できます。ご登録のメールアドレスから contact@tougetown.com へご連絡ください。本人確認をお願いする場合があります。合理的な期間内に回答します。
10. 未成年者
本イベントは18歳以上の方が対象であり、当社は意図的に未成年者の情報を取得しません。
11. 改定・苦情
当社は本ポリシーを改定することがあり、改定日を冒頭に表示します。ご不満は上記の窓口へお寄せいただくか、個人情報保護委員会へお申し出いただけます。
